OFFICE ADMINISTRATOR

Candace Plotz Design is a high-end residential interior design firm seeking a dedicated, motivated and hard working individual to assist with the management of our office, projects and day-to-day operations.

Responsibilities:

  • Oversee day-to-day office procedures

  • Coordinate communications between team.

  • Maintain schedules.

  • Organize and run weekly meetings.

  • Assess incoming client requests as well as retain memberships and accounts.

  • Oversee bookkeeper/assist with monthly invoice distribution

  • Interface with clients, vendors and members of the design-build team.

  • Work with principal to develop a strategic business development plan.

  • Establish and maintain a business development database (CRM)

  • Assure existing clients are properly served and stay satisfied and positive.

  • Research and build relationships with new clients.

  • Set up meetings between client decision makers and principal.

  • Work with team to develop proposals that speak to the client’s needs, concerns, and objectives.

  • Prepare monthly reports.

  • Maintain company website and work closely with outside consultants as required.

  • Work with principal in maintaining social media program and platforms.

  • Ensure office supplies are adequately stocked and handle property needs

  • Analyzing processes, procedures and working practices to identify and implement changes to increase efficiency, productivity and overall performance.

  • Accept, inspect and organize deliveries.

Required Qualifications:

  • 1+ years of equivalent experience

We are looking for one versatile and motivated person to join our little team starting in a part-time capacity. This will involve a broad range of tasks and responsibilities including but not limited to:

  • SHOP SUPPORT - receiving and stocking product, cleaning and organizing, working as part of a team, taking direction.

  • WEBSITE SUPPORT - (training provided) assisting in keeping our e-commerce website up to date with new product information + images, acquiring + editing photos, assisting with product photo shoots.

  • SHOPKEEPER - top notch customer service, product knowledge, day-day business needs, merchandising + display, liaison between customer requests and warehouse/studio + owner.

We are open to this position evolving so we are looking for someone who may have an interest to grow with us!

RESPONSIBILITIES:

  • Variety Pack! Each day will be different based on the most urgent needs of the shop but may include any of the following:

  • Always: Ensure our customers feel welcome and inspired in the shop and provide product information or advice they may need.

  • Keep the shop looking and functioning at its best - refresh/restock store displays on a daily basis, organize back room and stock overflow, maintain a cleaning schedule + routine.

  • Manage inventory - including receiving orders, unpacking, tagging and stocking as well as reporting any inventory discrepancies or low stock levels.

  • Along with the shop team, manage the majority of customer inquiries - in person, via email/social media or over the phone.

  • Complete sales - learn + use a computerized point of sale system.

  • Product knowledge - learn about the products we offer and be a competent resource for our customers.

  • Open and close the shop on your own.

  • Assist with the website - (training provided) input product information + images, acquire supplier images, and assist with product photo shoots.

  • Communicate and report regularly with the shop owner and warehouse/studio.

QUALIFICATIONS:

  • You are keen, self-motivated + detail oriented.

  • You are organized, efficient and have an aptitude for multi-tasking.

  • You are friendly, polite and have a down to earth approach-ability.

  • Previous retail & sales experience or have acquired similar skills which would translate well into a small shop environment

  • Merchandising & styling skills.

Intermediate Interior Designer

Candace Plotz Design is a fast-growing high-end residential design firm in Renfrew, ON with clients throughout the Ottawa Valley, Ottawa and surrounding areas.

Our approach is collaborative and personal to each client.

We are looking for an experienced Designer to take part in every step of the design process for client projects. You would support and participate with our design team in creating functionally beautiful spaces for residential clients while using industry knowledge, design experience, innovative design concepts and creativity, all while keeping within the Candace Plotz Design aesthetic. We need someone who is SUPER detail-oriented, meticulous & who is a self-starter.

RESPONSIBILITIES:

  • To work on projects from all phases of design through installment, including but not limited to: CAD drawings, sourcing, procurement, scheduling, and negotiating.

  • Work directly with team to create and present presentation boards to include CAD drawings, mood boards, FF&E, surface materials, colour palettes and lighting.

  • Generate plan specifications based on client needs and contract requirements.

  • Provide design support and administration during completion and execution of design concepts.

  • Source and work with outside vendors to procure and coordinate all furniture, fixtures, & accessories.

  • Manage multiple projects at once.

  • Project management skills including attending and leading meetings, looking after clients and following-up with contractors

QUALIFICATIONS:

  • 3+ years of Interior Design experience, preferably from a design specific firm.

  • Bachelor’s degree in Interior Design or related field from an accredited school.

  • Proficient in AutoCAD and/or Revit

  • Knowledge of furniture, finishes, materials, colour selections, and specifications.

  • Knowledge of design requirements, construction methods and materials for high end residential environments.

  • Great ability to multitask, work independently as well as a team, detailed and ambitious.

  • Must be GREAT at follow through!

  • Reliable car and willing to travel.

  • Ability to help haul heavy samples and small furniture items during presentations or installations.
